myQld Digital Transaction Platform privacy statement

About this privacy statement

myQld, hosted by the Queensland Government through the Queensland Government Customer Digital Group within the Department of Customer Services, Open Data and Small and Family Business, enables you to access and track your Queensland Government online digital services.

We take your privacy very seriously and are committed to ensuring the protection of your personal information, no matter where you are located. QGCDG collects and handles your personal information in accordance with its legal obligations, including those under the Information Privacy Act 2009.

This privacy statement describes how your personal information is collected and handled by myQld.

myQld includes:

  • myQld Digital Transaction Platform (DTP)—a whole of government platform able to be used by Queensland Government Agencies to deliver online digital services to you
  • myQld Services Portal (the Portal)—a whole-of-government portal providing you a single, secure place to access, view and manage your digital interactions with Queensland Government.

The Portal enables you to:

  • see the digital services you have accessed using the DTP and their status (e.g. draft, submitted, completed)
  • continue the digital services that you have saved as drafts using the DTP so that you can complete your submission
  • keep your personal details up to date so that they can be pre-filled into any DTP digital service/form saving you time
  • get notifications about changes in statuses of your submitted digital services.

The Portal is currently a beta trial—this means features will be added and improved over time.

Collection, use and sharing

What information do we collect?

When accessing myQld Services Portal or using an agency digital service through the DTP, you will need to login with your digital identity through the Queensland Government Digital ID Exchange using an available identity provider. For more information as to how the Queensland Government Digital ID Exchange handles your personal information, please read the Queensland Government Digital ID Exchange privacy statement.

When you start an Agency’s digital service form via the DTP, an account will automatically be created for you in the myQld Portal and populated with your email address from your digital identity. As you continue completing the form, the details you enter will automatically be saved as a draft against your account so you can stop at any time and complete your submission later. You can access and resume the saved draft via the initial service link that you used, or via the Portal. Your saved draft will be available for 14 days from the last time you updated it. After that time, it will expire and be deleted from myQld.

As you complete an Agency’s digital service form via the DTP, you may be required to enter your personal details. You can then elect to save your personal details to your myQld account to save you time re-entering them next time you access a DTP digital service/form. The personal details able to be saved to myQld are title, preferred name, contact email, mobile number, home address and postal address.

Your submitted digital services will be kept by myQld for 30 days. Within this period, the Agency responsible for the digital service will be able to retrieve your submission to process it. Your personal information will be handled by the Agency according to its privacy statement which you can access via the digital service.

After 30 days, key summary details of your submitted service will be kept and stored as service tracking details by myQld. Your remaining data submitted for that service will be deleted. The key summary details will enable you to identify the digital service within the Portal and you will be able to see its latest status (e.g. submitted, completed). The key summary details are determined by the agency who provides the service and no Personally Identifiable Information (PII) will be included.

How do we use your information?

If you choose to save your personal details to myQld, we will use them to pre-fill agency DTP digital services saving you time from re-entering these details each time.

myQld will keep a contact email so that we can contact you about changes to services and notify you when changes have been made to your profile details, as a security check. Unless you provide an alternate contact email, we will use the digital identity email that you use to log in via the Queensland Government Digital ID Exchange to contact you.

Who do we share your information with?

After you have completed the submission of an agency DTP digital service, the agency will retrieve and process your submission as per their processes and timeframes.

Unless authorised or required by law, and except as stated in this privacy statement, we will not use or disclose your personal information as contained in the DTP digital service/form or within the Portal to any other third party without your consent.

Securing your information

Your data will be stored in myQld cloud-based storage. It will be encrypted both in transit and when stored in the myQld cloud-based storage. Encryption is designed to make data unreadable, and to make it readable again only with the correct encryption key.

Accessing your information

Accessing, updating, and correcting your information

If you want to update or delete your personal details (such as title, preferred name, mobile number, home address or postal address, or contact email address) from myQld, you can do this via the Portal. To make any changes to your Identity details (such as official name, date of birth, or primary email address) you will need to do that with the Agency managing it. Refer to the Queensland Government Digital ID Exchange to find out how.

When making changes to your personal details via the Portal, some extra security features exist. You will be asked to verify changes made to your contact email address and you will receive an email to do this. Similarly, when you update your mobile number, you will receive a SMS to verify the update.

myQld will also send you an email notification each time a change is made to your personal details as a security check to ensure that they were made by you. Within the Portal, you will be able to see an activity log of changes that you have made.

To update details for any submitted Agency DTP digital services, you will need to contact the Agency.
